Job Description

The duties and responsibilities of an Event Coordinator center on planning and managing events of varying sizes and purposes. Coordinators have to understand what it takes to make sure the logistics work out, keep everything within the allocated budget and ensure that the event itself is carried out smoothly.

Must Have

  • At least 3 years’ experience as an event coordinator.
  • Proven track record of organizing successful events.
  • Proficient in MS Office.
  • Excellent Vendor Management Skills.
  • Outstanding communication and negotiation skills.
  • Outstanding vendor management skills.
  • Bachelor’s degree in hospitality management or public relations is preferred.
  • Strong communication and interpersonal skills.

Responsibilities

  • Marketing support and administration.
  • Arrange and Coordinate Webinars.
  • Create, compile and export databases containing all information for each event.
  • Do final checks at the day of the event to make sure everything meets standards.
  • Maintain invoices from vendors for tradeshows and conferences.
  • Staying up to date with digital developments and generating new ideas to draw the audience’s attention through content.
  • Oversee event happening and act quickly to resolve problems.
  • Manage all event set-up, tear down, and follow-up processes.
  • Conduct final inspections on the day of the event to ensure deliverables are ready (Shipped) for the event.
  • Assess an event’s overall success and submit findings.
