Job Brief

We are seeking a detail-oriented and proactive Assistant Supervisor – Mortgage Recording to join our team in St. Paul, MN. This role supports the Supervisor in overseeing daily operations, ensuring document accuracy, and maintaining service level agreements (SLAs). The ideal candidate will have experience in mortgage recording and a passion for team leadership and process improvement.

Responsibilities

  • Perform formal review and inspection of all final loan documents to ensure accuracy and completeness within designated timelines; capture all required data elements in the system.
  • Record (check-in) documents upon receipt, enter comments into the database, and monitor reports to track outstanding items.
  • File, retrieve, and ship documents to final destinations as needed.
  • Conduct audits on received documents and ensure all required data elements and comments are accurately captured.
  • Follow up via phone or email on pending or missing documentation.
  • Assist in overseeing daily activities of the Mortgage Recording team and serve as the primary trainer for new personnel.
  • Monitor project progress and team performance; manage deliverables in alignment with project plans.
  • Collaborate with internal departments to resolve document discrepancies and ensure smooth workflow.
  • Track daily production and work activity of the team to ensure optimal capacity utilization and adherence to SLAs.
  • Record and manage project issues, escalating when necessary to leadership.
  • Prepare and present reports and presentations for internal and client-facing reviews.
  • Support the Supervisor in performance coaching, quality control, and process improvement initiatives.

Position Requirements

  • High School Diploma or GED required; Associate degree preferred.
  • Minimum 1 year of experience in a mortgage recording or related mortgage servicing role.
  • Prior experience in a team lead or assistant supervisory capacity preferred.
  • Strong knowledge of mortgage documents and recording processes.
  • Title experience is a plus.
  • Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook); ability to learn new platforms quickly.
  • Excellent time management, organizational skills, and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to work independently with minimal supervision and interact professionally with clients and internal teams.
  • Demonstrated ability to train and support team members.
  • Flexibility to work extended hours as needed.
