Position Description

The Trailing Docs Supervisor is responsible for overseeing the review, processing, and management of final mortgage loan documents to ensure accuracy, compliance, and timely delivery. This role requires strong organizational skills, attention to detail, and the ability to lead a team in a fastpaced environment while maintaining exceptional quality standards.

Key Responsibilities

  • Conduct monthly partnership calls via Teams with clients, including PowerPoint presentations on workflow.
  • Analyze client pipelines to ensure quality and accuracy in meeting contractual SLAs.
  • Collaborate with IT on client requests and development projects.
  • Supervise and coordinate daily operations for trailing/final document processing.
  • Review and inspect all final loan documents for accuracy and completeness within designated timelines.
  • Capture required data elements in applications and ensured proper documentation in the system.
  • Monitor and manage reports to track outstanding documents and resolve exceptions promptly.
  • Communicate with internal teams, lenders, and title companies via email or phone to follow up on pending documents.
  • Ensure timely check-in, filing, and shipment of documents to their final destination.
  • Train and mentor team members on best practices and compliance requirements.
  • Maintain adherence to company policies, industry regulations, and client service level agreements (SLAs).

Must Have

  • High School Diploma or GED required; Associate’s or Bachelor’s degree preferred.
  • Minimum 6 months’ experience working with mortgage and title documents.
  • Prior experience in post-closing or title company operations preferred.
  • Strong knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to learn and adapt to new applications/platforms quickly.
  • Excellent time management, organizational skills, and attention to detail.
  • Ability to work independently and lead a team with minimal supervision.
  • Strong written and verbal communication skills.

  • Ability to lift up to 25 pounds as needed.

  • Must be able to work on-site in St. Paul, MN.
  • Schedule: 7:30 AM – 4:00 PM (Candidates must be ready to work at 7:30 AM).
  • Fast-paced, deadline-driven environment requiring accuracy and efficiency.
